Why reunions are harder to schedule than meetings

People are travelling, not just attending

A reunion often means flights and hotels, so people need more notice and more options than a local event. Multi-select respects that.

The group spans several chat platforms

Not everyone is in the same group chat, and some aren't in any. A link works regardless of where you find them.

Nobody wants to be the reason it's rescheduled

People will quietly not reply rather than say a date doesn't work. A tick-box poll is low enough stakes that they respond.

You need lead time, so ask early

Six months out for anything involving flights. A poll makes early asking cheap.

Set it up in three steps

1

Offer real candidate weekends

Three to five, spread across the year. Include at least one holiday weekend if people are travelling far.

2

Share it wherever people are

Email, group chats, a Facebook group. Anyone with the link can respond without an account.

3

Lock it in early

Set a closing date, then book. Flights and accommodation get harder the longer you leave it.

Frequently Asked Questions

How do I plan a reunion date?
Click Use This Template, replace the example weekends with your candidates, and click Create Poll. Share the link however you reach people.
Can people select more than one weekend?
Yes, multi-select is on. That's essential for a group that has to book travel — you need to see everything that could work.
How far ahead should I ask?
Six months for anything involving flights, three for a local gathering. People need lead time to protect a weekend.
Do people need an account?
No. They click the link and tick their availability. No login, no email, no app.
Can I see who is available when?
Yes, with name collection on — useful when one or two people are blocking the best weekend and you want to ask them directly.
How many people can respond for free?
Up to 100 responses per poll, which covers most family and class reunions.
How do I reach people who've lost touch?
Share the link anywhere the group might see it — email, a Facebook group, a class WhatsApp. Because no account is needed, a link forwarded twice still works.
Should I ask about budget or location too?
Run those as separate short polls once the date is fixed. Asking everything at once reduces response rates on the question that matters most first.
What if the best weekend excludes a few key people?
Enable name collection so you can see who's blocked, then ask them directly. Often one person can shift plans if asked personally.
